Refund & Cancellation Policy

Because every automation project is custom-built, refund terms depend on how much work has already been completed. Here's exactly how that works.

1. Overview

Tejasvee Automation delivers custom AI automation work — every project is scoped and built specifically for the client, unlike an off-the-shelf product. This policy explains when a refund is available, and when it is not, for project-based engagements and ongoing support retainers.

2. Deposits & milestone payments

Most projects follow a milestone payment structure agreed in the project proposal, typically:

  • Deposit (paid before work begins) — secures your project slot and covers initial discovery and design work.
  • Milestone payment(s) — due at agreed points as the build progresses.
  • Final payment — due on delivery, before final handover of credentials and full ownership of the automation.

3. If you cancel a project

  • Before work begins: if you cancel before any discovery or build work has started, your deposit is refunded in full, minus any payment processing fees already incurred.
  • After discovery/design has started: the deposit becomes non-refundable, as it covers time already spent, but no further payment is owed.
  • Mid-build: you will be invoiced for the proportion of work completed to date; any amount paid beyond that proportion will be refunded.
  • After final delivery: once an automation has been delivered, tested, and accepted by the client, payments for that milestone are non-refundable.

4. If we cancel or are unable to deliver

If Tejasvee Automation is unable to complete an agreed project for reasons within our control, we will refund any payments made for work not yet delivered. Where a delay or inability to deliver is caused by factors outside our control (for example a third-party platform such as Meta or WhatsApp changing its policies, APIs, or access terms), we will work with you in good faith to adjust the project scope, timeline, or fees rather than issue an automatic refund.

5. Non-refundable items

The following are non-refundable under any circumstances:

  • Third-party costs already incurred on your behalf (API credits, hosting, software subscriptions, WhatsApp/Meta messaging fees, domain or SSL costs)
  • Work already delivered, reviewed, and accepted by the client
  • Custom code, configurations, or content created specifically for your project once handed over
  • Any milestone payment for work completed prior to a cancellation request

6. Ongoing support & retainers

For clients on a monthly support or maintenance retainer, cancellation requires 14 days' written notice. Fees already paid for the current billing period are non-refundable, but no further payments will be charged after the notice period ends.

7. How to request a refund

To request a refund or discuss a cancellation, email us with your project name and the reason for the request. We aim to respond within 2 business days and, where a refund is approved, process it within 7 business days to your original payment method.
